The formula to calculate time duration requires subtracting the start time from the end time. Here's the formula: 

Elapsed Time = End Time – Start Time

How Do You Calculate Time Span?

To calculate the time span, subtract the start time from the end time. Follow the below-mentioned steps:

  • Identify Start and End Times: Note down the specific starting and ending times for which you want to calculate the span of time
  • Convert Times to a Common Format: The start and end time should be in 24 hours or AM/PM format. If not then convert them into these formats for ease 
  • Subtract Start Time from End Time: Get the duration of the time by subtracting the start time from the end time. If the start time is later than the end time, then it represents a crossing of midnight. If this happens then it means you need to perform some adjustments in the calculation for time span.
  • Handle Midnight Crossings: If you see that the time span is crossing midnight then perform the adjustments accordingly by considering it as transitioning to the next day
  • Show Result in Hours, Minutes, and Seconds Format: convert the resulting time into hours, minutes, and seconds format

Example:

Suppose a night shift starts on January 25, 2024, at 11:30 PM and ends on January 26, 2024, at 7:45 AM. Now find how much time passed between these two times.

Solution:

Given that:

Start Time: January 25, 2024, 11:30 PM

End Time: January 26, 2024, 7:45 AM

Calculate time between two points by subtracting start time from end time:

7:45 AM − 11:30 PM = 8 hours 15 minutes (The value is greater than the second time)

From First Time To Second Time:

24 hrs - 8 hours 15 minutes = - 15 hours 45 minutes

From Second Time To First Time:

It goes from AM to PM so there will be no negative sign

24 hrs - 8 hours 15 minutes = 15 hours 45 minutes

From The First Time To The Second Time Over Midnight:

From 11:30 PM to Midnight = 12:00 AM−11:30 PM = 30 minutes

From Midnight to 7:45 AM = 7:45 AM−12:00 AM = 7 hours 45 minutes

Total = 30 minutes+7 hours 45 minutes = 8 hours 15 minutes

From The Second Time To First Time Over Midnight:

From Midnight to 11:30 PM = 11:30 PM - 12:00 AM = 23 hours 30 minutes 

From 7:45 AM to Midnight = 7:45 AM−12:00 AM = 16 hours 15 minutes

Total = 23 hours 30 minutes + 16 hours 15 minutes = 39 hours 45 minutes
